How to configure Syntphony for external users
External and invited users can access and work similarly to internal users. This article outlines the configuration steps required to enable external user capabilities in Syntphony.
Main steps are presented below
- Invite external user to your tenant.
- Ensure external user belongs to Syntphony Users Entra ID group.
- Enable external sharing in App Catalog and Syntphony configuration sites.
- Validate external user read access to App Catalog and Syntphony configuration sites.
1. Invite external user to your tenant
The first step is to add or invite your external users to the tenant where you want them to collaborate. This step is related to Microsoft Entra ID configuration for inviting external users to the tenant.
2. Ensure external user belongs to Syntphony Users Entra ID group
The next step is to add the external user as member of the Syntphony Users group. This group is created by default during the product installation and should be available within Microsoft Entra ID groups.
This configuration can be done during the registration process of the external user by setting a group assignment, or later, by editing the user’s group memberships after they have been created.
3. Enable external sharing in App Catalog and Syntphony configuration sites
This step is configured through your sharepoint tenant admin center. The admin center lives in the following URL: https://{your-tenant-name}-admin.sharepoint.com/. Navigate to Sites > Active sites. The page will show all existing sites in your organization. We will need to configure and enable external user sharing for these 2 sites:
- App catalog site. By default, the URL is https://{your-tenant-name}-admin.sharepoint.com/sites/AppCatalog, but can be different depending on how the app catalog site was initially created.
- Syntphony configuration site. The site URL is always https://{your-tenant-name}-admin.sharepoint.com/sites/togo in this case.
So find the specific site in SharePoint central administration, select it and go to 3 dots (…) > Sharing.
A panel will be displayed on the right hand side of the screen to configure site sharing. Make sure that “Only people in your organization” is NOT selected. This is the only level that restricts external users access.
As mentioned before, these steps need to be done for both sites.
4. Validate external user read access to App Catalog and Syntphony configuration site
It is mandatory that external users have at least read access in
- App catalog site.
- Syntphony configuration site.
This is done by default during Syntphony installation process when Syntphony Users group is configured automatically in both sites with read access permission.
Please check and validate that Syntphony Users group is already added in both sites or add it otherwise.
